Case Study: Office Green Plant Pals Project

Project Overview

Project Plant Pals is the new service offering desk plans to home and commercial users by Virtual Office Green.

The goal of the project was to increase revenue by five percent by the end of the year through a new service called Plant Pals that offers different desk plants to top customers.

During the project, I achieved the following:

  • Demonstrated the significance of a project’s initiation phase and its key components; demonstrated the key components of project proposals and charters and developed a project charter.
  • Demonstrated how to determine a project’s benefits and costs through a cost-benefit analysis.
  • Defined and created measurable project goals and deliverables; mastered how to define project scope, differentiate among tasks that are in-scope and out-of-scope, and avoid scope creep; and how to define and measure a project’s success criteria.
  •  Defined project roles and responsibilities, completed a stakeholder analysis, and utilized RACI charts to define and communicate project team member responsibilities.
  •  Identified the typical resources needed to manage a project; evaluated various project management tools to meet project needs; demonstrated the importance of clear and consistent project documentation.

Office Green Plant Pals Artifacts

Project Charter 

Created project charter for Office Green Plant Pals.  This crucial document sets the stage for project success by providing a comprehensive overview of the project's purpose, scope, and key details. It was our foundational tool for effective project management, fostering clarity, accountability, and stakeholder engagement from the project's initiation.

Escalation Email

Communication is the primary function of a successful project manager.  Knowing when and how to communicate delays or other risks that cause a project to fall behind schedule is important.  We learned about escalation and how to properly address that need and created escalation emails.

Project Status Report

Created a project status report. This document is meant to inform stakeholders about how the project is progressing in comparison to the project plan. It's an important document that helps identify problems and root them out before they escalate, or at the very least, reduce their impact.

 

WBS Diagram

Created a Work Breakdown Structure (WBS). A hierarchical decomposition of the total scope of work to be carried out by the project team. It organized and defined the total scope of the project, breaking it down into smaller, more manageable components. Each level of the WBS represents a level of detail in the project scope.

Gantt Chart/Gantt Matrix

Created a Gantt chart that served as a visual representation of the project.  It provided an overview of the project — start and end dates, milestones, dependencies with other tasks, task owners, and assigned team members.

It proved to be a useful tool for tracking progress throughout the project.

 

Add Estimation/Project Estimation

Created Add Estimation documents.  This is a process of forecasting the time, cost, and resources needed to deliver a project on time and within budget. It typically happens during project initiation and/or planning and takes the project’s scope, deadlines, and potential risks into account.   Important document that is best collaborated on by the entire team so that no assumptions about the amount of work or time to deliver a viable product will be made.  Poor time estimation may cause delays and more money for the client.

Sprint Retrospective Follow-up Email

Created a Sprint Retrospective follow-up email.  The follow-up email helps in consolidating and documenting the outcomes of the retrospective meeting for future reference and improvement.  A sprint retrospective follow-up email is a valuable tool for documentation, communication, accountability, and continuous improvement in agile development. It helps teams maintain transparency, align their goals, and foster a culture of learning and adaptation.

Presentation of Plant Pals Survey Results 

Analyzed Plant Pals Customer Survey Results and created a presentation to share findings.  Learned that effective survey analysis involves both quantitative and qualitative methods.  Demonstrated how insights gained can drive meaningful actions and how regularly revisiting and acting upon survey results can contribute to a culture of continuous improvement in project management.

RACI Chart

Created RACI chart and demonstrated how it is used to clarify employee roles and responsibilities for each task, milestone and decision that takes place throughout a project.

The chart is designed to ensure clear communication and smooth workflows across all parts of a team.

Risk Management Plan

Risk is a part of every project.  Its important to know what risks exist and have a plan for hos to manage or mitigate the risk.  We analyzed data to document potential risks and how to mitigate these in order to maintain project timeline.

Risk Identification Steps 

  • Identify risks.   Use data sources such as information from past projects or SME opinions to estimate all the potential risks that can impact your project.
  • Risk Assessment:  Prioritize risks by looking at their likelihood and level of impact.
  • Risk Mitigation:  Create a contingency plan with  risk mitigation actions to manage project risks.  Define which team members will be risk owners, responsible for monitoring and controlling risks.
  • Risk Monitoring: Risks must be monitored throughout the project life cycle so that they can be controlled.

Project Closeout Report 

Created a Closeout Report.  A closeout report in project management is a comprehensive document that summarizes the entire project, its performance, and the lessons learned throughout its lifecycle. The primary purpose of a closeout report is to formally close the project, provide a record of its achievements, and facilitate the transition of project deliverables to the operational phase or the next project. The closeout report is a valuable document for the project team, stakeholders, and future project managers. It provides a comprehensive view of the project's journey, outlines its successes and challenges, and offers insights for continuous improvement in future projects. It's also a crucial part of the project closure process, ensuring that all aspects of the project are properly concluded and documented.
